Terms of Service

Exhibitor Commitment

  • The exhibitor commits to have their booth open during the following times: Friday, October 20 – 8:00 am – 5:00 pm and Saturday, October 21 – 8:00 am – 2:15 pm. It is NOT possible to exhibit only on Friday or to leave earlier or start later.
  • The setup will take place on Thursday, October 19 during a time which will still be determined and communicated to all exhibitors.
  • The exhibitor will not sublet, assign or share any of their space without the previous written agreement of the organizing committee.
  • The exhibitor can only offer food or beverages of sample size at their booth.
  • The exhibitor will accept the decision of the organizing committee on the placement and size of their booth.
  • The exhibitor hereby agrees to be bound by (i) all applicable fire, utility and building codes and regulations; (ii) any rules or regulations of the facility where the exhibition is held; (iii) the terms of all leases and agreements between the organizing committee and the managers or owners of said facility; and (iv) the terms of all leases and agreements between the organizing committee and any other party relating to the exhibition. All decorations and booth equipment must be fireproofed and electrical wiring must meet the safety requirements of the official service contractor. Affidavits attesting to flameproof compliance with fire department regulations must be submitted when requested. No combustible materials shall be stored in or around exhibit booths.

Fees and Payment

  • The fees are $200 per table for non-profit organizations, colleges, universities and Provincial Specialist Associatons (PSAs). The cost for businesses and exhibitors who wish to sell goods at the event is $600 per table. A maximum of three tables per exhibitor.
  • The organizing committee will review all applications and decide which exhibitors they will offer a booth. The exhibitor will be notified by email of the decision.
  • Payment of the exhibitor fees is due upon approval of your application. The booth is only guaranteed once payment has been received in full.
  • Payment is accepted by credit card online only. The secure payment process accepts VISA and MasterCard.

Cancellation

  • The exhibitor can cancel their booth at any time. If they cancel before August 31 then they will receive a 75% refund of the fees they paid. Any cancellation September 1 and later will receive no refund. Cancellation must be done by email to the Exhibitor Coordinator at exhibitors@psasuperconference.ca.
  • Should the exhibitor not be ready and present at the time that the exhibition area opens then they forfeit their right to the space and the space can be reallocated by the organizing committee.
  • The organizing committee reserves the right to cancel the event at any time. In this case any exhibitor fees will be refunded.

Liability

  • Insurance and liability are the full and sole responsibility of the exhibitor.
